The Marketing & Customer Insights team is looking for a Management Partner / Executive Assistant to support two critical leaders: the Global Head of Congresses & Events and the Global Head of Solutions Marketing & Commercial Academy.
In this pivotal role, you'll be a key enabler at the heart of our Marketing division. You will work side-by-side with two leaders and their teams, helping to shape global marketing plans, manage high-profile congresses & events, and develop critical commercial training programs. The perfect candidate has a minimum of 5+ years of experience as an Executive Assistant or Office Manager. They are highly skilled with Google Suite applications (Gmail, G-Drive, G-Calendar, etc.) and actively utilize AI tools to automate routine tasks. They are fast learners with a "can-do" attitude, eager to experiment with new ways of working and thrive in a global network. The successful candidate is a natural team player who can maintain confidentiality and build strong relationships across the organization, as well as a proactive, adaptable, and highly organized professional. Fluent C1+ level verbal and written English communication skills are also required.
Tasks and Responsibilities: - Executive Support & Coordination: Serve as the trusted point of contact for two global leaders, managing complex calendars, expense reporting and arranging domestic & international travel.
- Operational Excellence: Serve as the "go-to"; operational expert for the team, handling budget management, expense tracking, and ensuring all administrative processes run smoothly.
- Project Management & Ownership: Lead and follow up on key projects, ensuring team goals and deliverables are met on time. You will play a critical role in supporting major initiatives, from global congresses & events to educational training programs.
- Communication & Presentation: Draft and edit internal communications, presentations, and other high-level documents, ensuring all materials are polished and professional
- Confidentiality: Handle highly sensitive and confidential business and financial information with discretion and professionalism
- Team Enablement: Drive a positive and productive team environment by coordinating meetings and large-scale events, while also developing and maintaining team resources like the G-Site.
Your Profile: - A Bachelor's Degree in Business Administration, Marketing, or a related field, or a commercial apprenticeship in office administration (KV)
- Minimum of 5+ years of experience as an Executive Assistant or Office Manager
- Highly skilled with Google Suite applications (Gmail, G-Drive, G- Calendar, etc.) and actively utilize AI tools to automate routine tasks
- A fast learner with a "can-do" attitude, eager to experiment with new ways of working and thrive in a global network
